Creating Your Poster
Posters at TCDL need to be submitted in two ways:
- Digital (PDFs, slides) posters need to be submitted to your moderator before the conference (due Tuesday, May 26, 2026).
- Physical (printed) posters need to be submitted for display at the conference (the morning of Tuesday, June 2, 2026).
Digital posters:
- Use Google Slides or PowerPoint to create your poster.
- Try not to pack all of your research onto the poster. Make it readable with a minimum font size of 20 pt. Keep to the highlights and headlines.
- Include photos, graphics, and color on your poster.
- Upload a PDF of your poster along with your Poster Pitch slide (see below) to the Poster Pitch folder in Google Drive. These files are required for you to be able to participate in the poster sessions at the conference.
Physical posters:
- A printed poster is required for you to be able to participate in the poster sessions at the conference. See the “printing your poster” section below for more info.
- Attention students: You may be able to re-use your printed poster used for your program requirements. Please confirm your print size with your moderator.
- Be sure to engage with conference attendees participating in the Scavenger Hunt, a fun TCDL tradition that encourages engagement with your poster. See the Scavenger Hunt section below.

Printing Your Poster
- Posters should be printed on paper 36″ x 48″ in size (either portrait or landscape orientation).
- Attention students: You may be able to re-use your printed poster used for your program requirements. Please confirm your print size with your moderator.
- Posters may be mounted on foam board or foam board will be provided along with clips and push pins for mounting at the conference venue. Please bring any additional supplies to secure your poster, as needed.
If you choose to print your poster in Austin, a FedEx / Kinko’s is located near the Commons Learning Center and will print large-format posters and mount on foam board:

Presenting Your Poster
Poster Pitch | You will present as part of the Poster Pitch session on Tuesday, June 2, 2026. Each poster presenter will be allotted up to one minute to pitch your poster to the audience and, if time allows, 10 minutes for Q&A will be allotted at the end of the session.
Speakers will go in order of assigned poster number. Prepare your Poster Pitch using our Google slide deck. The TCDL Accessibility Task Force has compiled presentation resources.

Display | Printed posters will be on display in the Atrium where meals and the conference reception will be held. Each poster will be assigned a number (on a sticky note), clipped to foam board, and attached to easels. Easels will be provided by Texas Digital Library. Scavenger Hunt
The TCDL Poster Scavenger Hunt: It’s a tradition!
How It Works
Poster presenters submit both a question and its answer related to their posters using our Google form.
TCDL committee members will compile all of the questions submitted and print them for use during the poster sessions at the conference.
Conference attendees can complete the scavenger hunt after watching the Poster Pitch presentation and engaging with poster presenters during the conference reception. Once completed, scavenger hunt quizzes will be handed in to a committee member at the check-in/information table.
Members of the TCDL Planning Committee will grade quizzes using your answers and select three winners randomly out of the participants with 100% perfect scores.
Note: Poster Presenters and Sponsors are not eligible to participate in the raffle.
Raffle
This year’s raffle includes prize bags with fun goodies that may spark joy.
Winners will need to be present to collect their prizes.
Best Poster Award
Poster presenters are not eligible to play the scavenger hunt, unfortunately, but each poster is entered into the Best Poster contest. Conference attendees who play the scavenger hunt will use their answers to vote for the Best Poster Award. The winner of the award will receive bragging rights, a prize, and free registration to next year’s TCDL*.
*One TCDL 2027 complimentary registration granted for poster teams.
Checklist & Due Dates
- March 23: Confirm participation as a poster presenter.
- May 8: Register for TCDL. Early bird registration ends May 8.
- Registration closes May 20.
- May 11: Attend our poster presenter orientation at 3 p.m. CT. Invitation will be sent to poster presenters via email.
- May 26: Set up your Sched profile.
- June 2: Bring your printed poster to TCDL and leave it at the check-in table.
- June 4: Pick up your poster at the check-in table or make other arrangements for its retrieval or recycling.
Posters Conference Schedule
Below is an example of the Poster presenters schedule. Timing may be subject to change. All events will take place at the Commons Conference Center.
Day 1 – Tuesday, June 2, 2026
Starting at 9:00 a.m. | Leave posters at the check-in/info table. Make sure they are labeled with your name, email, and cell number.
3:00 p.m. | Poster setup in Atrium
3:00 p.m. | Convene at Big Tex auditorium for Poster Pitch
3:30 p.m. | Poster Pitch begins
4:00 p.m. | Poster Pitch ends / Pick up Scavenger Hunt questionnaire at check-in table
4:00 p.m. | Reception & Scavenger Hunt and Best Poster voting begins
5:00 p.m. | Scavenger Hunt quizzes due
5:15 p.m. | Scavenger Hunt prize winners announced (must be present to collect prizes)
Day 2 – Wednesday, June 3, 2026
8:00 a.m. | Posters remain on display throughout the day. Best Poster ballots continue.
Day 3 – Thursday, June 4, 2026
10:00 a.m. | Best Poster ballots due
12:30 p.m. | Best Poster prize awarded
2:00 p.m. | Clean up begins. Pick up your poster by 2 p.m. or leave it to be recycled.
